01Who we are

Utopia 360 Studio ("Utopia 360", "we", "us") is a product-visualization studio providing 3D rendering, 360° and AR views, and interior scene production for furniture and home brands. Utopia 360 Studio is a brand of LLC “Utopia Studios Group”, a limited liability company registered in Ukraine (company code (EDRPOU) 46147544; registered address: 35 Anny Akhmatovoi St, Apt 3, Kyiv 02068, Ukraine). This policy explains what personal data we collect through utopia360.studio and in the course of our work, why we collect it, and the choices you have.

LLC “Utopia Studios Group” is the data controller for the personal data described here. Our contact details are at the end of this document.

02Data we collect

Information you give us. When you send a brief, request a quote, or write to us, we collect the details you provide: your name, work email, company, phone number if you include it, and the content of your message and any files you attach.

Information collected automatically. When you visit our website we collect technical data such as your IP address, browser type, device, pages viewed, referring site, and the time and duration of your visit. This is collected through cookies and similar technologies described below.

Project data. During an engagement we receive product files, CAD models, material references, photography, and brand guidelines from clients. We treat these as confidential client materials, not as personal data, unless they contain information about identifiable individuals.

03How we use your data

We use personal data to respond to enquiries and prepare proposals; to deliver, invoice, and support the services you commission; to operate, secure, and improve our website; to send occasional studio updates where you have agreed to receive them; and to meet legal and accounting obligations.

Where we rely on your consent, for example for marketing emails or non-essential cookies, you can withdraw it at any time.

04Newsletter

You can subscribe to our newsletter through the sign-up forms on our website. We collect your email address together with the date and time you subscribed, the page you subscribed from and the consent wording you agreed to, so we can show that you asked to receive it. We use your email address only to send the newsletter — new work, articles and studio news — and we never sell it or share it for other companies' marketing.

The legal basis is your consent, and you can withdraw it at any time: every newsletter email contains an unsubscribe link, or you can email hello@utopia360.studio and we will unsubscribe you promptly. Withdrawing consent does not affect emails sent before.

Subscriber data is stored with Cloudflare, our hosting provider. If we use an email service to send the newsletter, it processes your email address on our behalf under contract.

We keep your email address for as long as you are subscribed. When you unsubscribe, we keep only a minimal record — your email address and the dates you subscribed and unsubscribed — so that we do not email you again and can show that we respected your choice. You can ask us to delete this record entirely.

05Cookies

Our website uses three categories of cookies and similar technologies:

Necessary — required for the site to work and to remember your cookie choice. These are always on.

Analytics — Google Analytics and Microsoft Clarity help us understand how visitors use the site, so we can improve it. They are only used if you allow them.

Marketing — the Meta Pixel measures the results of our advertising on Facebook and Instagram. It is only used if you allow it.

We also use Cloudflare Web Analytics, which counts visits without cookies or personal identifiers. When you rate a blog article, a random identifier is stored in your browser so that each reader has one vote per article; it is not linked to your name or any other personal data. Article view counts are anonymous totals.

You choose your preferences when you first visit and can change them at any time via “Cookie settings” at the bottom of every page. We ask again after 12 months. Declining analytics or marketing cookies does not affect your ability to use the site.

06Sharing and processors

We do not sell personal data. We share it only with service providers who process it on our behalf under contract: cloud hosting and storage, email and CRM tools, analytics, payment and accounting providers, and render-farm infrastructure used to produce client work. Each provider is bound to use the data only for the services they provide to us.

We may disclose personal data where required by law, or to protect our rights, our clients, or the public.

07International transfers

Some of our providers are located outside the European Economic Area. Where personal data leaves the EEA we rely on adequacy decisions or standard contractual clauses approved by the European Commission, together with additional safeguards where needed.

08Retention

We keep enquiry data for up to 24 months after our last contact, unless it becomes part of an engagement. Project records, including contracts and invoices, are retained for the period required by tax and accounting law, typically seven years. Client source files and final renders are kept for the duration of the project and for 12 months afterwards, unless a different retention period is agreed in writing.

09Your rights

Depending on where you live, you may have the right to access the personal data we hold about you, to correct or delete it, to restrict or object to its processing, to receive it in a portable format, and to lodge a complaint with a supervisory authority.

To exercise any of these rights, email hello@utopia360.studio. We respond within 30 days.

10Changes to this policy

We review this policy periodically and will post any changes on this page with a new "last updated" date. Significant changes will be communicated to active clients directly.
